A Dubsado Setup for a Bridal Business That Practically Runs Itself

The pretty website was only the beginning. Now let's talk about what happens when someone actually wants to book!

Bride in a white gown stands by stone steps and black railings, with overlaid text: Bridal Hair Proposal.

Gorgeous website? Tick. Now who's dealing with all those enquiries?! 👀

Remember the beautiful new website we created for Joanne Alice Hair?

Well, if you haven't had a nosey yet, you can read all about the website design here.

But today, we're talking about something a little different.

Something that, admittedly, doesn't sound quite as exciting as choosing gorgeous fonts and creating a luxury website...

WORKFLOWS AND AUTOMATIONS, BABY.

I know. Try to contain yourselves 😂

But hear me out, because this is the stuff that makes my little business brain ridiculously happy!

You see, creating a website that makes people want to enquire is one thing. But what happens when those enquiries actually start landing?

Who's responding to them? Who's sending the information? Who's following up? Who's preparing the proposal, contract and invoice?

And more importantly, does all of that really need to be done manually?!

Spoiler alert: absolutely bloody not.

And that's exactly why we brought Dubsado into Jo's business.

First things first, a lil context...

Joanne Alice Hair Founder

Jo is a luxury bridal hairstylist on the Isle of Man, offering a personal, considered experience for brides and their bridal parties.

And if you've ever worked in the wedding industry, you'll know there's a LOT that happens between someone enquiring and the actual wedding day.

Date availability checks, wedding details, bridal party numbers, pricing, booking confirmations, contracts, payments, trials, inspiration photographs...

The list goes on & and on & and onnnnn.

Now imagine managing all of that across multiple brides, all getting married on different dates, with different requirements and at completely different stages of their booking journey.

Suddenly, something that should feel incredibly exciting starts looking like an admin marathon🤪 .

That's where Dubsado comes in.

Before I touch an automation, I want to know EVERYTHING.

And I mean everything.

One of the biggest misconceptions about Dubsado is that you can just throw a few automated emails together, connect a form and suddenly your business runs itself - if only, eh?!

But there's a little more to it than that.

Before building Jo's setup, I wanted to understand exactly how her booking process needed to work.

What happens when someone enquires? What information do we need? What if Jo is already booked on that date? How should pricing be presented? What does someone need before they're ready to commit?

And what happens after they've booked?

Once I knew everything, I mapped out a client journey that made sense for Jo, her business and the brides she'd be looking after - one that felt easy to move through, answered questions at the right moments and took as much unnecessary back-and-forth off Jo's plate as possible, so she could focus on what she does best! 😉

Step 1: From 'Ooooh, I love her work!' to the enquiry

Let's start at the beginning...

A bride lands on Jo's website, has a little nosey, finds exactly what she needs, falls in love with her work and decides she's someone she'd love to have there on her wedding morning.

AMAZING!

Rather than having enquiries arrive as random Instagram messages or emails with half the information missing, we created a dedicated enquiry form that gathers the important details from the start.

Wedding date, location, bridal party requirements and the other bits Jo needs to understand the booking.

It's a small detail, but it makes a HUGE difference.

Because instead of spending the next three emails asking questions that could've been answered in the first place, Jo can review a proper enquiry with the relevant information already there.

And from the bride's perspective?

It feels organised, professional and reassuring from the very first interaction.

Which is exactly how it should feel when you're enquiring about a luxury service!

Step 2: Let's get this booking confirmed

Now we're getting to the good stuff 👀

Once an enquiry comes through, Jo can check whether she's available for the requested wedding date - a VERY important part of the process in the wedding world!

So we've built the process around that decision.

Once Jo confirms the date is available, the proposal can be sent with the relevant information already carried through from the enquiry.

Because this is a luxury bridal business, the booking experience itself needs to feel like an extension of that 🥰

Step 3: One place for the proposal, contract and payment

One of my FAVE bits.

You know that painfully long email exchange where you send someone their quote, wait for them to confirm, send the contract, wait for it back, send the invoice, check whether they've paid and then finally confirm everything?

Yeah, not up in here!! 😜

With Jo's Dubsado setup, those important booking elements are brought together into a much more organised process.

The bride can review her proposal, sign her contract and receive the invoice with her payment schedule.

Jo's payment structure is all clearly set out so there's no wondering what needs paying and when and the system sends reminders - something I know lots of business owners LOVE because they feel super awkward talking about money!

Step 4: Booked! Now what?

The contract's signed, the booking has been secured and the bride is officially in Jo's calendar.

Lovely!! - But we're not disappearing into the sunset now, are we? Noooooo way.

For a wedding supplier, there's often a considerable amount of time between the initial booking and the actual wedding day. During that time, brides want to feel reassured that everything is organised and they're in good hands.

So we've created a booking confirmation journey that explains what happens next.

It introduces the client's portal, where important booking information can be accessed and additional inspiration images can be shared ahead of their bridal trial.

It also provides a structure for sending the bridal trial scheduler at the appropriate stage and an email on how to prepare for their appointment - the little details make the biggest difference! And everything is considered from start to finish.

Let's talk about automation for a sec...

I think there's a HUGE misconception that automating your business somehow makes it less personal - and I completely disagree.

When it's done properly, I think it can actually create MORE room for personal attention.

Think about it.

If Jo isn't spending her evenings manually sending the same booking information, chasing documents or trying to remember which bride needs what, she has more time and energy for the things that genuinely need her expertise: her brides, their hair, their trials, their wedding morning experience - alllll the reasons they booked her in the first place.

The automated bits are there to make sure nothing important slips through the cracks and admin overload doesn't make an appearance where it isn't welcome!!

So what have we actually created in Dubsado?

A joined-up client booking experience that brings together:

  • A dedicated bridal enquiry form that collects the important information upfront

  • A date availability check before the booking proposal is sent

  • A beautifully presented proposal that reflects Jo's brand

  • Contracts, invoices and staged payment information

  • Booking confirmation communication and clear next steps

  • A client portal for important documents and inspiration

  • A structured process for bridal trial scheduling

  • Automated communications and workflows to support the journey

EVERYTHING has been considered as one complete experience.

From that very first enquiry to getting the bride booked in and prepared for her wedding.

And THAT is what I mean when I talk about creating systems that actually support the business behind them.

The website makes the first impression and Dubsado carries it all the way!

This is why I absolutely love projects where I get to work on both the website and the systems behind it.

Jo's website introduces her, showcases her work and helps brides feel excited about choosing her.

Her Dubsado setup then supports the next part of that relationship, turning enquiries into an organised booking process and keeping everything connected.

Two different pieces of the puzzle - both doing their own job.

Honestly, it's the kind of thing that makes me want to do a little happy dance at my desk.

And trust me, nobody needs to witness that. 😂

Jo's Kind Words 🤍

I honestly don’t even know where to start when it comes to Sophie at Let's Grow! ❤️

From the moment we started working together, Sophie has completely understood my vision for Joanne Alice Hair and has brought it to life in a way that has honestly exceeded all my expectations.

Her talent, creativity and attention to detail are on another level! She hasn’t just designed me a website, she has created something so beautiful, professional and in keeping with the brand I’ve been dreaming of building.

As someone starting this exciting new chapter, having someone who genuinely listens, understands what you want to achieve and puts so much thought and passion into their work is priceless.

Sophie has been incredible throughout the whole process, and I couldn’t be happier with the finished result. If you’re looking for someone who truly cares about your business and wants to help you bring your vision to life, I couldn’t recommend Sophie enough.

Thank you for helping me create something I’m so incredibly proud of. You really are on another level, and I’m so excited for what’s ahead for Joanne Alice Hair! ❤️

If your business is currently running on emails, sticky notes and sheer determination...

First of all, impressive.

Second of all, we should probs have a chat. 😂

Whether you're a wedding supplier, photographer, stylist or another service-based business juggling multiple clients, there's a good chance you're doing a whole lot of things manually that don't actually need to be.

And you don't have to know the first thing about automations to change that as (if you haven't guessed already) this is what I thrive in 😉

I'll get to know your business, figure out how your client journey needs to work and build a Dubsado setup that helps take the repetitive stuff off your plate, whilst making the whole experience feel amazing for your clients.
